The registration fee is 250 EUR on most of our trips. On trips with large prepaid costs the registration fee can be higher and will in such case be clearly stated in the trip description.
The registration fee is paid within four bank days after the confirmation email has been sent. Your registration is binding when the upfront payment has been made. The rest of the tour price is paid up till 60 days before the trip start.
Minimum number of participants
We specify the minimum number of registered travelers for each trip required for us to confirm the trip.
Final payment must be made 60 days before the start date of the trip. We send you the final invoice as soon as the trip is confirmed.
Loyal customer discount
We have a loyal customer discount which means that you get a discount of 20 EUR already from your second trip with us. From your 5th trip you will receive 50 EUR in discount.
Early bird discount
All bookings up to the minimum group size for each trip receive a discount of 100 EUR. The minimum number varies from trip to trip and is shown on the booking page for each trip.
For example, if a trip requires 6 people to be confirmed, the first 6 places booked will be 100 EUR cheaper than the full price. From the 7th booking and up to the maximum group size, full price has to be paid.
Book with a friend discount
If you are two or more people booking together, each of you receives a 7% discount.
You will find the current itinerary for each trip on our website. However, the nature of the trips makes it impossible to guarantee an exact itinerary. The itinerary for each trip is therefore preliminary. We reserve the right to make changes to the trip, due to compelling circumstances or for the purpose of improving the trip. If you choose to deviate from the group’s itinerary, you will have to pay the costs for the transport and accommodation caused by the deviation.
Prices and conditions
The prices stated on our website for current trips are valid until further notice. We reserve the right to correct the price of the trip in the event of major changes in the cost of the trip, such as higher costs for domestic flights or for major changes in exchange rates. Any changes in the price must be notified to the traveler at the latest 60 days before the start date of the trip. The price increase can never exceed 8% of the price of the trip. If a price increase occurs, you have the right to cancel your trip without cancellation fee.
Booking your flights
We notify you when the minimum number of participants is reached and the trip is thus confirmed. Only then should you book flights. If we are forced to cancel a trip that has already been confirmed, we will reimburse the cancellation costs for your flight (however, this does not apply if we have to cancel a trip due to so-called force majeure, see the section Canceled trip). If you booked your flights before the trip confirmation, we will not reimburse you for your own cancellation of flights.
Time of arrival
If you have booked flights so that you will have difficulty getting to the start accommodation during day 0 (for example if you land late in the evening), we would like you to notify TraToS so that we can inform the tour manager. If your flight to Ukraine is delayed so much that you will not be able to arrive in time for the collection time, you should contact the tour manager directly via the telephone number you will receive by mail in our last mailing prior departure.
Single room supplement
Unless otherwise clearly stated in the trip description, sharing a twin room is the default accommodation option. Our travelers share a room with a person of same gender. If wished for, a single room can be booked for an extra fee. Single rooms should be booked at the same time as the trip and are subject to availability. Please note that the single room supplement must be specified on your final invoice or as a separate additional invoice for the booking to be valid.
Cancellation of your booking
If you are canceling your trip booking, the following applies:
Cancellation earlier than 60 days before travel start date: The traveler pays a cancellation fee of 65 EUR. The remaining registration fee will be refunded.
Cancellation 60-31 days before the start of the journey: The registration fee is forfeited.
Cancellation 30-15 days before the start of the trip: the traveler pays 50% of the price of the trip.
Cancellation less than 15 days before the start of the trip: the traveler pays 100% of the price of the trip.
Cancellations must be made by e-mail: firstname.lastname@example.org.
Travel insurance that provides adequate protection in case of illness, accidents and covers the cost of any home transport is included in the trip price.
Visa and passport
The traveller is responsible for ensuring their passport is valid and visa is issued on time, if needed. We provide supporting documents required for the visa. Passports are required for all of our trips. The passport must be valid for at least six months after the end of the journey and contain at least 2 blank pages. Make sure your passport is undamaged. If at the start of the journey you do not have an approved passport and any visa for the current trip, no refund will be made.
Control of travel documents
The traveler is obliged to check any tickets and other travel documents as soon as they are received from us. Any errors should be reported to TraToS immediately.
We can cancel a trip if the minimum number of participants is not reached. Those who have booked and paid the registration fee for the trip that we must cancel due to too few registrants will be reimbursed the registration fee without deduction. If you have booked flights even though the trip is not confirmed, we will not reimburse you for cancellation of your own flight. We also reserve the right to cancel a trip due to force majeure. Force majeure is, for example, natural disaster, war action or strike; events that have a pervasive impact and could not be predicted.
Local rules, laws and customs
The traveler is obliged to abide by and respect the rules, laws and customs of the local community, as well as to show respect and good behavior towards both fellow travelers, tour leaders and the locals. In case of repeated or serious violations against this, we reserve the right to suspend the traveler from the trip.
If you are dissatisfied with your trip, you must immediately submit your complaints to your travel manager or call TraToS on email@example.com. In this way, we have the opportunity to correct any errors directly. Any complaint must be made in writing to TraToS no later than two months after the end of the trip.
